Archiving Policy
1. Introduction
NERS Jurnal Keperawatan (NJK), published by the Faculty of Nursing, Universitas Andalas, is committed to preserving its published scholarly content and maintaining long-term access to its research publications. The journal recognizes the importance of digital preservation in safeguarding the scholarly record and ensuring that research in nursing science, nursing practice, nursing education, clinical care, and healthcare services remains accessible to researchers, healthcare professionals, students, and the wider public.
This policy describes the principles and measures adopted by NJK to support the preservation, accessibility, authenticity, and integrity of its published content. The journal aims to maintain the availability of its publications in accordance with applicable institutional policies, technical capabilities, and recognized scholarly publishing preservation practices.
2. Description
Digital archiving refers to the processes and activities used to preserve digital scholarly content and maintain its accessibility over time, including when technologies, platforms, or publishing systems change.
The objectives of NJK's archiving policy are to:
-
Maintain access to published articles and other scholarly content for future reference.
-
Reduce the risk of permanent content loss resulting from technical failures, accidental deletion, security incidents, or changes in publishing infrastructure.
-
Preserve the integrity, authenticity, and usability of published research.
-
Support the discoverability and retrieval of scholarly publications through appropriate metadata and persistent identifiers.
-
Encourage responsible preservation and sharing of published research in accordance with the journal's applicable copyright and licensing terms.
-
Support continuity of access to the journal's scholarly record in the event of changes to its publishing platform or publication activities.
3. Policy Details
3.1 Publisher-Managed Archiving and Website Access
NJK provides access to its published articles through its official journal website:
https://ners.fkep.unand.ac.id/index.php/NJK
The journal aims to maintain the availability of its published content through appropriate website maintenance, content management, and data protection measures.
Where supported by the publisher's information technology infrastructure, backups of journal content and associated data should be maintained to reduce the risk of data loss and facilitate recovery following technical incidents.
The journal's published content should be managed in a manner that supports continuity of access and preserves the scholarly record.
3.2 Digital Preservation Services
NJK supports the use of recognized digital preservation services to strengthen the long-term preservation of its published content.
Where available and formally enabled, the journal may use preservation services such as:
-
PKP Preservation Network (PKP PN): A digital preservation service designed to support participating journals using compatible Open Journal Systems (OJS) installations.
-
LOCKSS (Lots of Copies Keep Stuff Safe): A distributed digital preservation approach that helps participating institutions preserve and provide access to scholarly content.
-
CLOCKSS (Controlled Lots of Copies Keep Stuff Safe): A preservation initiative designed to maintain scholarly content and provide access under specified trigger conditions.
-
Portico: A digital preservation service for scholarly electronic publications.
The use of any particular preservation service is subject to the journal's actual participation, technical configuration, and applicable institutional arrangements.
NJK will identify the preservation services it actively uses and update this policy when its preservation arrangements change. A service will not be represented as active unless participation and configuration have been confirmed.
3.3 Author Self-Archiving
NJK supports responsible dissemination and preservation of scholarly research by its authors, subject to the journal's applicable copyright policy, publication agreement, and licensing terms.
Authors may deposit or share their manuscripts through personal websites, institutional repositories, or appropriate subject repositories when permitted by the applicable publication terms.
The permitted versions and timing of self-archiving depend on the journal's current licensing and copyright arrangements:
-
Submitted Version (Preprint): The manuscript version submitted before peer review may be shared where permitted by the applicable journal policy and any relevant third-party requirements.
-
Accepted Manuscript (Author's Accepted Manuscript): The version accepted after peer review but before final copyediting and typesetting may be deposited in accordance with the applicable publication agreement and licensing conditions.
-
Published Version (Version of Record): The final published article may be shared or deposited when permitted by the article's license and the journal's applicable copyright policy.
When depositing or sharing a version of an article, authors should provide a complete citation to the original publication in NJK and, where available, include the article's DOI or a permanent link to the official journal webpage.
Authors must comply with the applicable license conditions and respect third-party copyright, confidentiality, and research ethics requirements.
3.4 Persistent Identifiers and Article Metadata
NJK supports the use of persistent identifiers, including Digital Object Identifiers (DOIs), where assigned to its published articles.
A DOI can provide a persistent reference to an article and help readers locate its current online record, even when the article's web address changes, provided that the DOI remains registered and its destination metadata is maintained.
The journal aims to maintain accurate article metadata, including titles, author names, affiliations, publication dates, abstracts, references, and identifiers, as applicable.
Where supported by the publishing platform, NJK facilitates the dissemination and harvesting of article metadata through compatible indexing services, library systems, and scholarly discovery tools, including the Open Archives Initiative Protocol for Metadata Harvesting (OAI-PMH).
3.5 Content Integrity and Preservation
NJK aims to preserve the integrity and authenticity of its published scholarly record.
When corrections, retractions, expressions of concern, or other post-publication notices are necessary, the journal will manage them in accordance with its applicable editorial policies and publication ethics procedures.
Where technically feasible, relevant publication records and associated notices should remain linked to the original article so that readers can identify the current status of the publication.
The journal seeks to retain appropriate records of published content and associated metadata in formats supported by its publishing and preservation infrastructure.
3.6 Continuity of Access and Cessation of Publication
In the event that NJK temporarily suspends publication, changes its publishing platform, or ceases publication, the journal and its publisher will seek appropriate measures to preserve previously published content and maintain access where feasible.
Such measures may include retaining accessible copies of published articles, preserving relevant metadata and publication records, maintaining appropriate backups, and exploring suitable institutional repositories or recognized digital preservation services.
The specific arrangements will depend on available institutional resources, technical capabilities, and any applicable preservation agreements.
Where a significant change affects access to the journal's published content, NJK will seek to communicate relevant information through its official website or other appropriate channels.
4. Technicalities to Achieve and Materialize the Policies
4.1 Publication Formats
NJK publishes scholarly content through its online journal platform. Articles and associated publication files are maintained in the formats supported by the journal's publishing workflow.
Where feasible, the journal aims to preserve final published articles in stable, widely readable formats, such as PDF, together with relevant metadata and publication records.
Additional formats and source files may be retained when supported by the journal's technical infrastructure and record-retention procedures.
4.2 Backup and Recovery Procedures
NJK encourages appropriate backup and recovery arrangements for journal content, publication records, and associated metadata.
Backup procedures should be coordinated with the responsible institutional or technical administrators, as applicable. Where feasible, backup arrangements should support recovery from accidental deletion, system failures, and other incidents affecting the availability of journal content.
The frequency, storage locations, retention periods, and restoration procedures should follow the applicable institutional information technology policies and the journal's actual technical arrangements.
4.3 Digital Preservation Configuration
Where a recognized preservation service is available and adopted by NJK, the journal will seek to maintain the necessary technical configuration and participation requirements.
For OJS-based preservation services, this may include enabling and configuring the relevant plugin, verifying the journal's eligibility, and checking that eligible published content is being deposited as expected.
The journal will periodically review the status of its preservation arrangements and address configuration issues where necessary.
4.4 Website Maintenance and Security
The NJK website should be maintained in coordination with the responsible institutional or technical administrators to support availability, security, and the integrity of published content.
Maintenance and software updates should be conducted with appropriate safeguards for journal data and publication records.
Where feasible, planned maintenance that may temporarily affect access to the journal should be communicated to users in advance.
4.5 Policy Review
This Archiving Policy will be reviewed periodically and updated when necessary to reflect changes in publishing technology, institutional requirements, digital preservation practices, and the journal's actual preservation arrangements.
NERS Jurnal Keperawatan (NJK) is committed to responsible digital preservation and to maintaining the accessibility and integrity of its scholarly contributions to nursing science and healthcare.
